Proponisi (“we,” “our,” “us”) provides software and services that help organizations improve customer service quality, employee performance, and operational compliance. This Privacy Policy explains how we collect, use, store, and protect personal information across our platforms.

1. Who This Policy Applies To
Proponisi serves two types of users:

Authorized Client Users – employees of our client organizations who access the Proponisi platform using assigned credentials under a Master Service Agreement (MSA) or similar contract.

Survey Respondents – customers of our clients who voluntarily opt in to complete digital surveys via a web browser. Survey respondents do not have accounts or platform access. Participation is optional and respondents may opt out at any time.
2. Information We Collect
From Authorized Client Users: name, email address, login credentials (hashed), session data, and platform usage activity as needed to operate and secure the service.
From Survey Respondents: contact information (such as name, email, or phone number) provided by the client for survey delivery, along with any feedback, ratings, or survey answers you choose to provide. We may also collect basic technical information such as IP address and browser type

3. How We Use Your Information
We use personal data to:

Deliver and operate the Proponisi platform for authorized client users.

Send survey or feedback requests to respondents on behalf of our client companies.

Share survey responses with the client company so they can improve their service.

Register respondents in additional research programs if they choose to participate.

Maintain platform security and comply with legal and contractual obligations.
We do not sell, trade, or transfer personal information to outside parties. Data is shared only with the client company on whose behalf it was collected, or as required by law.

4. Acting on Behalf of Our Clients
Proponisi processes data on behalf of our client companies as a service provider. The client company determines how your data is used beyond what is described here. To understand their specific privacy practices, you should review the privacy policy of the company you originally interacted with.

Where clients operate in regulated industries such as healthcare or government services, Proponisi adheres to the data handling requirements specified in our agreements with those clients, including Business Associate Agreements (BAAs) where applicable under HIPAA.

5. Cookies and Session Technologies
For authorized client users, Proponisi uses cookies and session technologies solely for core platform functionality:

Authenticating users and maintaining secure login sessions.

Loading dashboards, reports, and LMS content.

Preserving session state and supporting security controls (e.g., CSRF protection, token validation).

Generating internal administrative usage reports such as login activity.
For survey respondents, minimal session data may be used to deliver the survey experience in your browser.
We do not use advertising cookies, marketing pixels, or any form of cross-site tracking. All tracking is first-party and confined to the authenticated application environment.
6. Security and Compliance
Proponisi implements administrative, technical, and physical safeguards to protect personal information, including:

Data hosted on secure, U.S.-based servers within the Microsoft Azure cloud environment.

Encryption in transit (TLS) and at rest (AES-256).

Role-based access controls restricting system access to authorized personnel.

7. Data Retention
We retain personal information only as long as necessary to fulfill our contractual obligations with clients or as required by applicable law. When data is no longer required, it is securely deleted or anonymized in accordance with our data retention and disposal policies. Clients can also customize their account specific retention policy based on their needs.
8. Your Rights
Survey respondents may opt out of receiving surveys at any time by following the opt-out instructions included in any survey communication.
Depending on your location and applicable law, you may also have the right to:

Access – request a copy of the information we hold about you.

Correction – request corrections to inaccurate or incomplete information.

Deletion – request deletion of your personal information where legally required.

Objection – object to or restrict how we process your data.

9. Children’s Privacy
Our services are not directed at children under the age of 13 (or under 16 in the EU). We do not knowingly collect personal data from children.

We may update this Privacy Policy to reflect changes in our practices or applicable laws. Updated versions will be posted on this page with a revised “Last Updated” date.
